Privacy Policy

A clear explanation of what Anvida collects, why we use it, and the choices available to you.

1. Scope and our roles

This Privacy Policy explains how Minds Awakened LLC, doing business as Anvida ("Anvida," "we," "us," or "our") collects, uses, discloses, and protects information through anvida.co, the Anvida application, and related technology and administrative services.

Clinical services currently available through Anvida are provided and managed by Liberated Mind TX Counseling PLLC, doing business as Acceptance Path Counseling (the "Clinical Practice"). The Clinical Practice is responsible for diagnosis, treatment, clinical supervision, professional judgment, and the official clinical record. Its handling of protected health information is described in the separate Notice of Privacy Practices. If this Privacy Policy conflicts with that notice regarding protected health information, the Notice of Privacy Practices controls.

Services are currently intended only for adults age 18 or older who are physically located in Texas.

2. Information we collect

Depending on how you interact with Anvida and the Clinical Practice, we may collect:

  • Identity and contact information, including your name, date of birth, email address, telephone number, and mailing address.
  • Account and authentication information.
  • Intake, screening, assessment, diagnosis, treatment, medication, safety, and care-plan information.
  • Journal entries, audio, speech-to-text transcripts, feeling ratings, questionnaires, clinician messages, session information, and information you choose to provide.
  • Payment, subscription, refund, transaction, and billing information. Payment-card details may be processed directly by payment providers rather than stored by us.
  • Device, browser, IP address, log, security, diagnostic, cookie, and usage information.
  • Communications with support, legal, privacy, and clinical personnel.
  • Information required to verify clinician credentials, licenses, sanctions, and insurance.

We collect information directly from you, from the Clinical Practice and assigned clinicians, automatically from your device, and from vendors assisting with authorized services.

3. How we use information

We use information to provide, secure, administer, support, and improve Anvida; establish and maintain accounts; process payments and subscriptions; facilitate onboarding and clinician assignment; enable communications; operate journals and speech-to-text features; detect fraud and misuse; comply with law; enforce agreements; and protect users, clinicians, the Clinical Practice, Anvida, and others.

The Clinical Practice uses clinical information for treatment, payment, healthcare operations, safety, quality, credentialing, recordkeeping, and other purposes permitted by applicable law and its Notice of Privacy Practices.

We do not sell personal information or protected health information. We do not use health information for targeted advertising.

4. How information is disclosed

Information may be disclosed:

  • Between Anvida, the Clinical Practice, and assigned clinicians as needed to provide and administer authorized services.
  • To contracted service providers supporting hosting, secure storage, customer relationship management, communications, transcription, artificial intelligence, payment processing, security, analytics, support, and professional services.
  • When you direct us or provide legally valid authorization.
  • To comply with law, legal process, licensing and oversight obligations, mandatory reporting, or lawful government requests.
  • To prevent or respond to suspected fraud, security incidents, abuse, threats, or danger to a person.
  • In connection with a proposed or completed financing, merger, acquisition, restructuring, or transfer, subject to applicable confidentiality and health-information requirements.

When a vendor creates, receives, maintains, or transmits protected health information on behalf of a HIPAA-regulated entity, an appropriate business associate agreement is required unless an exception applies.

5. Artificial intelligence and service providers

Anvida uses technology that may organize information, convert speech to text, identify material for clinician attention, and draft content for review. Technology does not independently diagnose, prescribe treatment, determine clinical necessity, or replace the assigned clinician's professional judgment. Clinical assessments, diagnoses, treatment plans, and clinician-directed practices require human clinical responsibility and review.

We require contractual safeguards from vendors based on their role and access. Information represented as de-identified will be treated as de-identified only when the applicable legal de-identification standard has been satisfied.

6. SMS and mobile-information privacy

No mobile information, including telephone numbers and SMS consent records, will be sold or shared with third parties or affiliates for their own marketing or promotional purposes. We may provide mobile information to vendors solely to deliver and support Anvida messaging, prevent fraud, maintain records, or comply with law.

Anvida offers two optional SMS programs:

  • Service messages: clinician reminders, appointment information, account notices, security notifications, and operational updates. Frequency varies based on your activity and care.
  • Marketing messages: promotional information from Anvida, generally no more than one message per month.

Consent to SMS is not a condition of purchase. Message and data rates may apply. Reply STOP to opt out of a program or HELP for help. You may also contact (877) 302-2627 or legal@anvida.co. Carriers are not liable for delayed or undelivered messages.

We design ordinary SMS not to include diagnoses, treatment details, journal content, medication information, or other sensitive clinical content. A message may nevertheless reveal that you have a relationship with Anvida. Use secure in-app communication for clinical information.

7. Your privacy choices and rights

Depending on the information and applicable law, you may request access, correction, a portable copy, restriction, confidential communications, an accounting of certain disclosures, or deletion of eligible information. Clinical records may not be deleted when retention is required by professional, healthcare, legal, safety, audit, or dispute-preservation obligations.

You may manage cookies through your browser, unsubscribe from marketing email using the message link, and withdraw SMS consent by replying STOP. Withdrawing an optional communication consent does not affect lawful processing that occurred previously.

8. Retention and security

The Clinical Practice generally retains adult clinical records for at least seven years after services terminate, and longer when another law, licensing requirement, investigation, audit, dispute, legal hold, or preservation duty applies. Other information is retained for as long as reasonably necessary for the purposes described in this policy, including account administration, security, billing, enforcement, and legal compliance.

We use administrative, physical, and technical safeguards designed for the sensitivity of the information. No system or transmission method is completely secure, and we cannot guarantee absolute security. If a legally reportable breach occurs, the responsible entity will provide notices required by applicable law.

9. Children, changes, and additional terms

Anvida is not intended for anyone under 18, and we do not knowingly provide services to or collect personal information from minors. We may revise this policy as services, practices, or law change. The effective date above identifies the current version. Material changes will be communicated as required by law.
